Chartering a private jet should feel effortless, but a first-time booking has a lot of moving parts. This is the checklist our team uses with clients, grouped into four simple phases so nothing gets missed.
Phase 1, Before you book
1. Define your travel needs. Start with the basics: dates and times, departure and arrival points, number of passengers, and luggage (count, size and weight). Flag anything special early, pets, wheelchair access, oversized cargo or a same-day return all shape which aircraft fits.
2. Choose the right partner. Not all charter is equal. Look at safety record and accreditations (ARGUS, Wyvern, IS-BAO), the breadth of aircraft on offer, and how transparent the pricing is. A broker with a real operations desk handles the hard parts for you.
3. Request and compare quotes. Ask for an all-inclusive figure and check what's inside it, landing, parking, crew expenses and taxes should all be there, not bolted on later. Compare like for like, and ask about empty legs, which can cut the price sharply if your dates are flexible.
Phase 2, Booking
4. Pick the aircraft. Match category to mission: a light jet for a one-hour hop with four to six people, a midsize or heavy for a full cabin or longer range. Consider seating, range, speed and on-board amenities such as Wi-Fi and a private lavatory. Browse our fleet to see what each class offers.
5. Confirm the details in writing. Read the charter agreement, terms, payment and deposit, and above all the cancellation and rescheduling policy. Weather and operational changes happen; know where you stand before you sign.
Phase 3, Before you fly
6. Prepare your documents. Valid passports and any visas, travel insurance, and special permits or declarations for pets, firearms or high-value items. On popular routes crossing borders, getting this right in advance avoids delays at the FBO.
7. Arrange ground transport. Airport pick-up and drop-off, transfers to your accommodation, and a chauffeur or rental car if needed, the door-to-door experience is part of the point of flying private.
8. Pre-order catering and special requests. Meal preferences and dietary restrictions, beverages, and any on-board entertainment or business equipment. A good desk confirms all of this before the day.
9. Run the pre-flight check. Provide passenger information, confirm the itinerary and arrival times, check the trip sheet and the pilot's contact details, verify the aircraft is on time, and notify the desk of any last-minute changes.
Phase 4, Departure
10. Pack appropriately. Private jets are generous on luggage but not unlimited, check carry-on and hold limits for your aircraft, dress for the cabin and destination, and bring chargers, adapters and any medication.
11. Arrive and enjoy. Reach the private terminal a few minutes before departure, have your documents ready, and step straight onto the aircraft. No queues, no main concourse, just your flight.
